Troubleshooting

Messages you might see and what they mean

What FieldFlow's most common error and warning messages mean, and what to do about each one, from a read-only account to a document that changed while you were looking at it.

Applies to: Owners, Admins, Crew, Subcontractors, on the web and the phone app. Last checked 2026-10-20.

When FieldFlow can’t do something, it says why in a short message. Here are the ones you’re most likely to meet. Some messages give more detail than the wording below, but the meaning is the same.

“Couldn’t …” with “Check your connection and try again.”

Something went wrong and FieldFlow has no more detail to give. Most often it’s a lost connection. Check your signal or Wi-Fi and try again. In the phone app, work you do with no signal is kept and sent later; see When the phone app can’t save a change.

Your account

“This FieldFlow account is read-only, so changes can’t be saved. Your data is safe.” The trial or subscription ended, or the owner paused the account. You can still see everything. The owner can subscribe on the web, in Settings › Subscription. On the web the owner sees Subscribe to keep working with a Subscribe button. See Your free trial and subscription.

“This account is read-only — ask your account owner to subscribe.” The same, as the rest of the team sees it. On a paused account it says “This account is paused — ask your account owner to resume it.”

“Only the account owner can do that.” Pausing, deleting the business and managing the subscription are for the owner only.

Access

“You don’t have access to that.” Your role doesn’t allow it. For what each role can do, see Team roles.

“That refers to something outside your business.” The item belongs to another business. Pick one from your own.

Something changed

“That item no longer exists. Refresh and try again.” It was deleted, maybe by someone else on your team. Refresh the page or screen.

“That changed since you opened it. Refresh and try again.” or “This document changed while you were viewing it. Reload it and try again.” Someone changed it after you opened it. Reload, check the latest version, and make your change again.

“Something changed while saving. Try again.” Two changes landed at the same moment. Trying again usually works.

“That already exists.” There’s already one with the same details.

“Too many attempts. Wait a moment and try again.” Wait a minute, then try again.

Estimates and invoices

“An issued document can’t be edited. Void it, or issue a credit note.” Once an invoice has its number, it’s locked. See Void an invoice and Refunds and credit notes.

“Only a draft can be edited.” and “Issue the document first.” The action needs the document in a different state.

“This document is void and can no longer be changed.” and “This document is already void.” A void invoice stays as it is.

“That document is in the trash. Restore it first.” Restore it from Settings › Trash.

“This estimate has expired. Ask the business for an updated estimate.” The estimate passed its expiry date, so it can’t be signed. The business can reopen it with Extend expiry; see Create and send an estimate.

“This estimate is already approved.”, “This estimate was already declined.” and “This estimate is no longer open for a response.” The client already answered. To change an approved estimate, see Change a signed estimate.

“The refund is more than was paid on the invoice.” and “The credit is more than the invoice’s balance due.” Lower the amount.

“Tax rate must be between 0% and 50%.” Enter a rate in that range.

Jobs, visits and time

“A timer is already running. Stop it first.” and “A timer is paused. Resume or stop it first.” You can have one timer at a time.

“You can start or complete your own visits; the office changes the rest.” Crew and subcontractors can work their own visits. Other changes are made by the owner or an admin.

“Complete your visit. The job closes when its last visit is done.” Crew complete visits, not whole jobs.

“Reopen the job first.” The job is closed. Reopen it to change it.

“This job has time or invoices on record, so it can’t be deleted.” A job with history stays, so its records stay complete.

“This time is on an invoice, so only the office can change it.” Time that has been billed is locked for crew.

“That person is no longer an active member of your team.” They were removed from the team. Pick someone else.

Flow AI

“Flow AI is available to owners and admins.” Crew members and subcontractors don’t have Flow AI.

“You’ve used this month’s Flow AI. It resets on …” Your business reached its monthly allowance. See Flow AI’s monthly limit.

“Flow AI is getting a lot of requests right now. Wait a minute and try again.” Flow AI is busy right now, often because many messages were sent quickly. Wait a minute and try again.

“That confirmation is no longer open. Ask again if you still want it done.” The confirm card expired or was replaced. Ask Flow AI again.
