Team roles and what each can do
FieldFlow has four roles (Owner, Admin, Crew and Sub). See what each one can see and do, how to change someone's role, and what happens when you remove someone.
Applies to: Owners, Admins, on the web and the phone app. Last checked 2026-10-17.
Everyone on your account has one role. The role decides what they see and what they can change.
Owner
The person who created the account. There’s one owner, and the role can’t be changed or removed. Only the owner can:
- Connect Stripe and manage the Payments settings
- Manage the FieldFlow subscription
- Delete the account
- Invite, change or remove admins
Admin
Admins run the office side with the owner. They can do everything the owner can except the things in the list above. That includes clients, jobs, the calendar, estimates, invoices, payments, reports, Flow AI and inviting crew and subcontractors.
Crew
Your own employees in the field. They use the phone app (the web dashboard is for owners and admins). A crew member:
- Sees only the visits they’re on, with the client’s name, phone number and the job’s address
- Reads the client notes on those jobs
- Tracks their own time, adds notes and photos, and logs expenses on their jobs
- Marks their visits complete
Crew members don’t see prices, estimates, invoices, payments or other clients. You can let a crew member quote and take payment on their jobs with field sales.
Sub
Subcontractors are outside businesses you send work to. They use the phone app like crew, with a few differences:
- They don’t see client notes.
- They don’t log expenses.
- They can’t use field sales.
- They get an email the first time you put them on a job, and a reminder email the day before each visit.
Change someone’s role
Open the person in Settings › Team & Subcontractors and pick a new role. Owners and admins can move people between Crew and Sub. Only the owner can make someone an admin or change an admin’s role. Nobody can change their own role.
Changing a crew member’s role turns off field sales for them.
Remove someone
Open the person and choose Remove from Team, then Remove Member. They lose access right away.
Their running timer is stopped, and they come off every job’s default crew and every upcoming visit they haven’t worked. Past visits and the time they logged stay as they were.
