Work with subcontractors
Invite outside businesses as subcontractors, put them on visits, and see what they get by email and what they can see in the crew app.
Applies to: Owners, Admins, Subcontractors, on the web and the phone app. Last checked 2026-10-17.
A subcontractor (“Sub” in FieldFlow) is an outside business you send work to. Subs use the same crew app as your crew, but they see a little less, and FieldFlow emails them about their visits.
Invite a subcontractor
In Settings › Team & Subcontractors, choose Invite Subcontractor (web) or Invite subcontractor (phone). Send the invitation by email or as a link. See Invite your team.
Subs are listed under Subcontractors, apart from your team.
Add the sub’s email address. FieldFlow tells subs about their visits by email only, so a sub without an email address gets no notices.
Put a sub on a visit
You add a sub to a job or a visit the same way as a crew member. See Assign crew to jobs and visits. When you add a sub on the phone, you can write a note for them.
What subs get by email
- When you first put them on a job: an email with the job, the date and time, the address, your note if you wrote one, and the name of the person who assigned them (with their phone number, if they have one on file).
- The day before each visit: a reminder email with the job, the date and time, the address and your note. It goes out between 9 AM and 9 PM your business’s time. You can’t turn it off.
FieldFlow doesn’t text subcontractors.
What subs see in the app
Like crew, a sub sees only the visits they’re on, with the client’s name, phone number and the job’s address. They track time, add notes and photos, and mark their visits complete.
Unlike crew, a sub:
- doesn’t see your client notes,
- doesn’t log expenses in FieldFlow,
- can’t use field sales.
Subs don’t see prices, invoices or your other clients.
