The deposit is in before the pallets are ordered.
Measure the room, build the estimate from your saved materials and labor, get it signed on your phone, and have the deposit paid before the supplier hears from you. Then keep the install days on one schedule.

In short
FieldFlow is field service management software for 1–5 person trades businesses: scheduling, estimates, invoices, payments, customers and the books in one app for the owner and the crew. It costs $19/month for the whole business, with unlimited users and every feature included, and starts with a 90-day free trial with no credit card. It runs in a web browser on a computer or a phone, at app.fieldflowusa.com; the phone app for iPhone and Android is coming to the App Store and Google Play. Below: how it handles flooring work, from the first call to the payment, and a day of it in the app.
FieldFlow facts, on one pageSounds familiar?
-
You ordered the hardwood on a handshake.
Then the customer changed her mind about the stain, and the material is yours.
-
The estimate was a number in a text message.
Square feet, underlayment, trim, haul-off and labor are in your head, and the customer remembers a lower total.
-
Day one is demo, day two is install, day three is trim.
The crew's plan lives in a thread, and the delivery is Wednesday for a job that starts Tuesday.
Built for the install, not the showroom.
A job priced by the square foot, material that has to be ordered, and three days of work that need a crew and a plan. The estimate, the deposit and the schedule are shaped around that.
Invoicing & estimates
-
Estimates by the square foot
Save the flooring, underlayment, transitions, baseboard, demo and haul-off as items with their prices. Set the quantity at the kitchen table and the total is there.
-
A deposit when she signs
The customer signs on your phone, and signing creates the deposit invoice. The signed page offers Pay deposit, so the material is paid for before you order it.
-
Extra work on its own estimate
She wants the hallway done too. Write it as a new estimate, which she signs, and convert it to an invoice when it is done. The first estimate stays as signed.
Payments
-
The bank transfer on a big floor
On a whole-house floor the card fee is 3.2% plus 30 cents. Offer the bank transfer at 1.1% or less and the difference stays with you.
-
The balance when the last board is down
Text the pay link from your phone at the walkthrough. The customer pays from the new floor, and the invoice marks itself paid.
-
Checks, logged
Many homeowners write a check for the balance. Log it against the invoice at the door so the balance reads right.

A day with FieldFlow as a flooring installer
A measure, day two of an install and a repair, with the next deposit paid before lunch.
-
Day two of the hardwood.
The schedule has the install on Maple Street, a measure at noon and a repair at 3. Your installer sees the same job on his phone, with the address and the customer notes.
-
The install is rolling.
The timers are running on two phones. The customer notes say the dog stays in the back room, and nobody had to call you to ask.
-
A measure for a kitchen.
Measure, photograph the subfloor and build the estimate from your saved items: vinyl plank, underlayment, transitions, demo, haul-off. She signs on your phone and the signing creates the deposit invoice.
-
The deposit, before you order.
Text her the deposit link from your phone. She pays from the kitchen, and you place the supplier order with the money in hand.
-
A cupped board.
The profile shows the species, the stain and the install date from two years ago. Fix it, build the service call invoice from saved items and send the pay link.
-
The supply house.
Pick up the trim and photograph the receipt at the counter, filed under Materials & Supplies. The dashboard has this week's collected total next to what the week has cost.
-
Day two, done.
Installer marks the day complete and stops his timer. Tomorrow's trim day is on both phones, and you made no calls to put it there.
