The web app and the phone app

FieldFlow has a web app at app.fieldflowusa.com and a phone app for iPhone and Android. Both sign in to the same account and show the same clients, jobs, estimates and invoices. A change you make in one shows up in the other.

Who uses which

• Owners and admins can use either one. Most of the office work is the same on both.
• Crew and subcontractors use the phone app. The web dashboard is for owners and admins only, so a crew member who signs in on the web sees a page that points them to the phone app.

The web dashboard’s “Take it to the field” card has the links to get the phone app. Until the app is listed in a store, the card says “Coming soon to the App Store” or “Coming soon to Google Play” in place of that store’s link.

Only on the web

• Subscribing to FieldFlow (Settings › Subscription). The phone app has no purchase path.
• Accepting a team invitation. The invitation link opens in a browser, where the new member creates their login. After that they can sign in on the phone.
• Sync to QuickBooks on an issued invoice.

Only on the phone

• The crew app: a crew member’s or subcontractor’s jobs, timer, notes and photos.
• Working with no signal. See the next section.

When the phone has no signal

The phone app keeps working in a basement or a dead zone for field work. These save on the phone and go up when the signal comes back:

• New and edited jobs and visits
• New and edited clients, including the address on a new client
• Expenses and mileage (not receipt photos)
• Starting and stopping the timer, and adding time by hand
• Adding notes and note photos

These need a connection:

• Estimates, invoices and payments
• Changing a job’s crew or its repeat schedule
• Pausing and resuming the timer
• Editing or deleting a note
• Deleting a job, visit or client
• Merging two clients
• Receipt photos and document photos
• Reminder switches on a job or document
• Field sales (quoting, invoicing and collecting from the crew app)

Finding your way around the phone app

The bar at the bottom has Home, Calendar, Jobs and Invoices. Tap More for Clients, Estimates, Refunds & Credits, Money and Settings, and for quick New Job, New Invoice, New Estimate and New Client buttons.
