Ask Flow AI
Flow AI is the assistant built into FieldFlow for owners and admins. Open it on the web or the phone, ask about your jobs, clients and money, and have it do the busywork for you.
Applies to: Owners, Admins, on the web and the phone app. Last checked 2026-10-18.
Flow AI is an assistant inside FieldFlow. Ask it questions in plain words, or ask it to do something, and it works with your real clients, jobs, estimates and invoices.
Flow AI is for owners and admins. Crew members and subcontractors don’t have it. If someone else signs in and tries, the chat says “Flow AI is available to owners and admins.”
What you can ask
- About your day and your schedule: “What’s on tomorrow?”, “When is Sarah free this week?”, “Find an open slot Thursday afternoon.”
- About clients: look someone up, see their job history and what they owe, add a client or a note.
- About money: overdue invoices, what’s outstanding, payments this month, your best clients, how long clients take to pay.
- To do the work: create a job or an estimate, turn a job into an invoice, reschedule a visit, put someone on a job, log an expense or time, change your default tax rate or reminder settings.
- How FieldFlow works: “How do I connect Stripe?” Flow AI answers from this help center and links the article.
Flow AI knows which screen you’re on. Open it from a client or an invoice and ask “What do they still owe?” without naming them.
When Flow AI changes something, its reply says what it did. Some actions, like sending an invoice or voiding one, wait for you to confirm first. See Confirming Flow AI’s actions.
Suggestions and Go ahead
When Flow AI notices something worth doing, such as a finished job with no invoice or invoices past due, it shows a suggestion card at the top of the chat. Each card says what it found in plain words, and its button asks Flow AI to look into it. Choose the x on a card to dismiss it. If there is more than one, the next card comes forward.
Pressing a card’s button doesn’t change anything yet. Flow AI shows a short plan first: the steps it would take, with the amounts, names and recipients listed from your records. Then it waits for you:
- Go ahead runs the plan exactly as shown, in that order.
- Not now drops it, and nothing changes.
If you type something else instead, the plan is dropped and Flow AI answers your new message, so ask for changes in your own words and it shows a new plan. While a plan is showing, typing a plain yes counts as Go ahead. A plan is good for 15 minutes and can be used once.
Go ahead covers what the plan lists, such as sending invoice 1042 to the client, and nothing outside it runs. The one exception is a step that acts on something an earlier step creates, like sending the invoice step 1 makes. That invoice doesn’t exist until the plan runs, so Flow AI asks you to confirm that step after you press Go ahead. See Confirming Flow AI’s actions.
On the web
Choose Ask Flow at the top of any page, or press ⌘J (Ctrl+J on Windows). The panel opens beside the page you’re on, so you can keep working.
Type in the box and press Enter, or pick one of the suggested prompts. To stop a long answer, choose Stop generating.
To start over, choose New conversation at the top of the panel, then Clear Conversation. A cleared chat can’t be brought back.
On the phone
Tap the Flow AI button at the top right of the screen. The chat opens over the page you’re on. A dot or a number on the button means Flow AI has a suggestion waiting.
To start over, tap New conversation at the top of the chat, then Clear Conversation.
Turn Flow AI off
Flow AI is on by default. To hide it, open Settings, then AI Assistant, and turn off Enable Flow AI. The switch applies to the browser or phone you change it on.
On the web, the same page has Show business overview on dashboard, an AI-written summary at the top of the dashboard.
Limits
- Flow AI has a monthly allowance for each business. See Flow AI’s monthly limit.
- On a read-only account (a trial or subscription that ended, or a paused account), Flow AI doesn’t run.
- Flow AI can make mistakes. Check what it tells you before you rely on it, especially amounts and dates.
