Confirming Flow AI's actions
Before Flow AI sends, voids, cancels, records a payment, merges or deletes anything, it shows you exactly what it will do and waits for you to confirm. See how the confirm card works.

Most of what Flow AI does happens right away, and its reply says what changed. A few actions are hard to take back, so Flow AI asks first.
What needs your confirmation
- Sending an invoice
- Sending an estimate
- Recording a payment
- Voiding an invoice
- Canceling a job
- Merging two clients
- Deleting a service from your price book
The confirm card
When you ask for one of these, Flow AI doesn’t do it yet. Its reply shows a card titled Confirm this? with what will happen, for example the invoice number, the client, the amount and how it will be sent.
- Choose Confirm to do it. Flow AI carries it out and replies with what happened.
- Choose Cancel to drop it. Flow AI replies “Okay, I won’t do that.”
The card describes the action itself, from your records, not in Flow AI’s words. What you confirm is what runs.
You can also type a plain yes, like “yes” or “go ahead”, when only one card is waiting. Anything longer is read as a new request.
When a card closes
A card stops taking answers when:
- You send another message instead. Any card still waiting is canceled.
- A newer reply arrives. Only the newest reply’s card can be answered. Older ones show No longer open.
- 15 minutes pass. If you choose Confirm after that, Flow AI says the confirmation is no longer open. Ask again if you still want it done.
- You asked on the other app. A card from the phone app can only be answered on the phone, and one from the web app only on the web. It shows where to answer it.
If you choose Confirm twice, or on two devices, the action still runs only once. Flow AI tells you if it was already done.
